Our client provides analytical and scientific support to help organizations make informed decisions.

My client is seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to several Vice Presidents within a fast-paced, international environment. This is a newly created position designed to ensure seamless coordination of executive activities and enhance operational efficiency across teams.

Key Responsibilities



  • Provide day-to-day administrative and logistical support to multiple executives, including calendar management, travel coordination, and meeting organization.


  • Manage and prioritize complex schedules, ensuring optimal use of time and smooth coordination of internal and external commitments.


  • Prepare and edit correspondence, presentations, and reports with a high level of accuracy and attention to detail.


  • Handle confidential information with discretion and professionalism.


  • Liaise with internal departments and external stakeholders to facilitate effective communication and information flow.


  • Support the planning and execution of executive meetings, events, and business trips.


  • Contribute to process improvement and organizational efficiency through proactive problem-solving and initiative.

Profil



  • Bachelor's degree or equivalent experience.


  • Minimum of 3 years' experience as an Executive Assistant, Management Assistant, or in a similar administrative support role.


  • Fully bilingual in French and English (spoken and written) - essential requirement.


  • Strong organizational and multitasking skills with the ability to manage multiple priorities in a dynamic environment.


  • Excellent communication, interpersonal, and time-management abilities.


  • High level of discretion, professionalism, and reliability.


  • Proficiency in Microsoft Office Suite and other productivity tools.
