A dynamic international organization based in Brussels is looking for an enthusiastic Office Assistant to take ownership of their reception and office coordination.
In this role, you'll be the welcoming face of the office while playing a key part in making sure everything behind the scenes is organized, safe, and efficient. If you're proactive, detail-oriented, and like working in a multicultural environment, this could be the perfect opportunity.
Your Responsibilities as an Office Assistant:
- Welcome visitors and manage front-desk duties (calls, emails, mail).
- Keep the reception and meeting areas tidy and fully equipped.
- Support office logistics: catering, room bookings, office supplies, printer & coffee machine maintenance.
- Liaise with suppliers, process invoices, and manage purchase orders.
- Act as a contact point for IT helpdesk and technical matters.
- Coordinate health & safety processes (EHS): drills, audits, maintenance, and training follow-up.
- Assist with sustainability certifications (e.g., ISO 14001) and update safety documentation yearly.
- Help implement and follow up on the company's crisis and incident plans.
Profil
What You Bring as an Office Assistant :
- Previous experience in an office or reception role.
- Knowledge of MS Office and Outlook is essential.
- Trilingual: fluent in Dutch, French, and English.
- Certification as a Prevention Advisor is a plus, not a must.
- You are hands-on, structured, and calm under pressure.
- Strong team player with excellent communication and organizational skills.
- A client-oriented mindset and eagerness to help wherever needed.
