Job DescriptionYou support the operation of the medical department, with a primary focus on the administrative and organisational follow-up of the service. This allows the medical staff to fully concentrate on their nursing and technical tasks as well as on consultation moments with residents, in cooperation with the centre physician.
Concretely, this means that you are responsible for the follow-up of the medical secretariat:
- You schedule appointments for residents;
- You oversee the internal pharmacy (replenishing supplies when necessary and monitoring the storage and expiry periods of medication and medical materials);
- You closely monitor the existing medical follow-up system, so that a comprehensive digital medical file is available;
- You check medical invoices;
- You manage internal medical files with the required discretion and in close consultation with nursing colleagues, and you follow up on hospital admissions;
- You coordinate the practical collaboration with external partners and keep these partnerships active;
- You handle the practical and administrative follow-up of preventive health initiatives.
Profil
Your profile- You hold an administrative diploma in Medical Secretariat, or you have already gained relevant administrative experience within a medical secretariat or a related field.
- You speak and write English fluently (the working language of the centre), as well as French (for communication with external partners (hospitals, etc.)) and Dutch; any other languages are a plus;
- You have experience working with people from diverse cultural backgrounds;
- You work efficiently with various MS Office applications. In addition, you have experience with the digital management of medical records.
- You are strong in planning and organisation.
- You are empathetic and diplomatic, while also being able to set clear boundaries.

Avantages du poste
Our offer- Fulltime position (38h/week);
- Indefinite contract;
- Contract with a specific clause for emergency shelter: the duration of the employment depends on the governmental assignment given to Belgian Red Cross-Flanders to organize the emergency reception of refugees;
- Payment in accordance with the salary scale 342 of PC 319.00. You can find the scales on our website (Baremas ) (click on 'baremas for reception centers'). For your seniority we take half of all your work experience into account;
- Meal vouchers: € 8/day;
- Group- and health insurance (voluntary contribution);
- Commuting by train is fully reimbursed; an allowance of € 0,37/km is offered when you commute by bike; when commuting by other means of transport (car, bus) a sectoral allowance will be paid.
