Are you an organised, proactive and detail-oriented administrative professional looking to join an international environment?
Our client, a leading European industry association based in Brussels, is looking for an Team Assistant to support several international sector groups. This is a varied position where you will work closely with senior stakeholders and contribute to the smooth running of international committees and projects.
Your responsibilities as Team Assistant
As Administrative Assistant, you will provide day-to-day support to the Sector Group Managers and ensure that all administrative processes run efficiently.
Your responsibilities will include:
- Managing complex agendas, meetings and appointments.
- Organising onsite, hybrid and virtual meetings, workshops and networking events.
- Preparing agendas, invitations, registration forms and meeting documentation.
- Coordinating travel arrangements across Europe.
- Supporting meetings before, during and after the event, including reporting and follow-up.
- Preparing and sending membership invoices and supporting financial administration.
- Maintaining internal databases and CRM systems (Salesforce).
- Managing document archiving according to internal procedures.
- Updating sector group websites and supporting digital communication activities.
- Acting as a key administrative contact for members and external stakeholders.
- Providing general administrative support to several international sector groups.
Profil
Your profile as Team Assistant
- Bachelor's degree in Office Management, Management Assistant or equivalent experience.
- 3 to 5 years of experience in an administrative or management assistant role.
- Experience within an international organisation, association or membership-based environment is a strong asset.
- Excellent command of English, both written and spoken. Additional European languages are an advantage.
- Strong knowledge of Microsoft Office (Word, Excel and PowerPoint).
- Experience with CRM systems (Salesforce) and website management is considered a plus.
- Highly organised, able to manage multiple priorities and meet deadlines.
- Proactive, solution-oriented and able to work independently.
- Strong communication and interpersonal skills with a customer-focused mindset.
- Curious, eager to learn and always looking for ways to improve processes.
- Able to anticipate needs and take initiative before issues arise.
