A well-established and growing wealth management and investment advisory firm is looking for a Client Administration Officer to join its Brussels office.
This position is ideal for an experienced administrative professional who enjoys working in a client-focused environment, combining executive support, client administration, and financial follow-up.
You will work closely with one or several Client Relationship Managers and play a key role in ensuring excellent service delivery to clients.
Your responsibilities as Client Administration Officer
As a Client Administration Officer, you will provide comprehensive administrative support while ensuring a high level of service to both clients and internal stakeholders.
Administrative & Executive Support
- Managing complex agendas and coordinating meetings
- Screening and handling calls, emails, and correspondence
- Welcoming clients and visitors
- Organizing meeting rooms and coordinating logistics
- Preparing presentations and administrative documentation
- Managing and maintaining client files and archives
- Ensuring smooth communication between clients, advisors, and internal teams
- Maintaining and updating client information in internal databases
Client & Financial Administration
- Supporting the opening of bank accounts in coordination with Compliance
- Following up on investment-related administrative processes
- Processing and monitoring financial transactions and investment orders
- Preparing reports, dashboards, and administrative analyses
- Ensuring accurate and compliant client documentation
- Supporting advisors in the day-to-day management of client relationships
Profil
Your profile as Client Administration Officer
- Bachelor in Office Management, Management Assistant, or equivalent experience
- Minimum 5 years of experience in a similar administrative support role
- Experience within a professional services environment (financial services, consulting, legal, wealth management, etc.) is a strong asset
- Excellent knowledge of Dutch, with a good command of French and English
- Strong administrative and organizational skills
- Affinity with numbers and financial environments
- Excellent communication and interpersonal skills
- Ability to manage multiple priorities and work independently
- Strong attention to detail and accuracy
- Service-oriented, proactive, and solution-driven mindset
- High level of discretion and professionalism
- Good knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Experience with CRM systems or databases is an asset
